This Privacy Policy explains how S4GA sp. z o.o. (“S4GA”, “we”, “us” or “our”) collects, uses, stores and shares personal data in connection with the website solutions4ga.com (the “Website”), business inquiries, requests for quotation, customer relationships and related communications.

We process personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation – “GDPR”), the Polish Act of 10 May 2018 on the Protection of Personal Data and other applicable Polish and European laws.

2. What Personal Data We Collect

The personal data we collect depends on how you interact with S4GA.
We may process the following categories of information:

  • e-mail address;

  • information submitted through contact forms and request-for-quotation forms;
  • information concerning a project, product requirement, airport, application or business opportunity;
  • the content of correspondence with S4GA;
  • customer, quotation, project and contractual information;
  • information relating to your interaction with our marketing communications;
  • technical and usage information relating to the Website, such as IP address, browser type, device information, referring source, pages visited and Website interactions;

  • when you contact us through WhatsApp or another communication platform;
  • during quotation preparation, sales discussions, project implementation and contractual relationships;

  • when another person within your organization, a business partner or another person involved in a project provides us with your business contact details.

4. Why We Process Personal Data and Our Legal Bases

4.1 Inquiries and Requests for Quotation

We process personal data in order to:

  • respond to inquiries;
  • provide product, technical or commercial information;
  • understand project requirements;
  • prepare and discuss quotations;
  • communicate with potential customers and their representatives.

Where you are acting on your own behalf and the processing is necessary to take steps at your request before entering into a contract, the legal basis is Article 6(1)(b) GDPR.

Where you contact us on behalf of a company or organization, or where the inquiry does not directly concern entering into a contract with you personally, the legal basis may be Article 6(1)(f) GDPR – our legitimate interest in responding to business inquiries and developing commercial relationships.

The processing of personal data for marketing purposes may be based on your consent under Article 6(1)(a) GDPR or, where legally permitted, on our legitimate interest under Article 6(1)(f) GDPR.

6. WhatsApp

The Website may provide a button or link enabling you to start a conversation with S4GA through WhatsApp.

When you select this option, you are redirected to WhatsApp, a third-party communication service. Information you provide through WhatsApp is processed by S4GA for the purpose of responding to and managing your communication and may also be processed by the provider of WhatsApp in accordance with its own privacy terms.

Where relevant to an inquiry or business relationship, information provided through WhatsApp may also be recorded in S4GA’s CRM or other business systems.

7. CRM and Other Business Systems

S4GA may store contact details, correspondence, inquiry information, quotation history and other relevant business information in CRM and customer-support systems.

These systems may include different service providers used by S4GA for customer relationship management, communication, sales administration and technical support.

Access to such information is limited to S4GA personnel and service providers who require access for the relevant business purpose.

  • CRM records: business contact information may be retained while there is an active or reasonably anticipated business relationship and is subject to periodic review.

  • lodge a complaint with a competent supervisory authority.

Withdrawal of consent does not affect the lawfulness of processing carried out before the consent was withdrawn.

14. Right to Object to Direct Marketing

Where your personal data is processed for direct marketing purposes, you have the right to object to such processing at any time.

Following such an objection, S4GA will no longer process your personal data for direct marketing purposes.

You may also unsubscribe from e-mail marketing by using the unsubscribe link provided in the relevant communication.

15. Supervisory Authority

As S4GA is established in Poland, you have the right to lodge a complaint with the Polish supervisory authority:

Prezes Urzędu Ochrony Danych Osobowych (President of the Personal Data Protection Office – PUODO).

If you are located in another EEA country, you may also have the right to contact the competent data protection authority in your country.

16. Is Providing Personal Data Mandatory?

Providing personal data through the Website is generally voluntary.

However, certain information may be necessary for us to respond to an inquiry, prepare a quotation, communicate about a project, enter into or perform a contract, or comply with legal obligations.
